Senior Executive/executive, Finance Services

**What the role is**
- We are seeking a highly motivated Senior Executive / Executive to join our Finance Services team. As a key member of our organisation, you will be responsible for managing and administering Finance Services for our service partners.

**What you will be working on**
- Execute the day to day AP transactions independently such as creating vendor records and processing payments accurately by verifying against the supporting documents, and seeking clarifications from Client Agencies, when required
- Issue billings to external parties on behalf of client agencies and monitor the receipt of monies through preparation of aging reports. Promptly follow up with Reminder and Late Payment Interest (LPI) Letters, if necessary
- Account for monies received by creating deposit records in the WOG Finance System and to investigate further if there are discrepancies
- Understand the different types of individual account codes/cost centres and appreciate the various accounting treatment and ensure that all transactions are posted to the appropriate accounts in WOG Finance System. Clarify with Client Agencies and post re-class journals if necessary
- Verify that all AP/AR/GL transactions are duly certified by the authorized Certifying Officers (COs) by comparing against the list of Specimen Signatures of the COs or the List of authorised COs for the various processes
- Check that all transaction documents received from agencies are in order and that all relevant supporting documents are attached for record and audit purposes
- Check and monitor VOICES (VITAL’s Case Management System) daily to pick up and process Service Requests from Client Agencies, are processed in accordance with agreed timeline
- Check that all controls implemented in the function, are based on the IMs, SOPs, Training Manuals, Finance Circulars, etc., have been complied with before processing the transactions. Highlight to Section Manager if any control needs to be strengthened
- Prioritize and monitor outstanding transactions using relevant reports and dashboards; and work with the team leads to ensure that they are processed timely and accurately
- Act as first point for customer contact to resolve all operational matters
- Assist Client Agencies on queries in accordance to the finance operating procedures and guidelines within stipulated service standards
- Provide excellent customer service to service partners and respond promptly within stipulated service standards
- Assess and determine whether AGD Helpdesk’s assistance is required, if customer enquiries relate to system issues that cannot be resolved internally
- Prepare supporting documents and provide support for internal and external audit purposes
- Conduct independent reviews of work processes and systems and recommend possible improvements to achieve greater efficiency and effectiveness
- Provide UAT support for processes outsourced, whenever there are systems enhancements
- Any other ad-hoc projects or tasks assigned by supervisors
