Business Operation Specialist
Reporting directly to the Group Executive Director, the Business Operation Specialist provides executive support in a one-on-one working relationship. The Business Operation Specialist serves as the primary point of contact for internal and external on all matters pertaining to the Office of the Group Executive Director and Group Senior VP. The Business Operation Specialist also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts.The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Business Operation Specialist will have the ability to work independently to handle a wide variety of activities and confidential matters with discretion.
**Duties and Responsibilities**:
- Completes a broad variety of administrative tasks for the Group Executive Director and Group Senior Vice President including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Produces information by writing minutes, transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics into the PowerPoint or excel.
- Provides a bridge for smooth communication/translation in mandarin, and on behalf of the Group Executive Director and Group Senior Vice President, with Board members, stakeholders, and internal/ external related to project initiatives to maintain credibility, trust and support with senior management staff.
- Maitains customer confidence and protects operations by keeping information confidential.
- Prepares reports by collecting and analysing information.
- Secures information by completing data base backups.
- At least 25% travelling to China for business purpose is required.
**Education and Experience Requirements**
- Bachelor's degree required
- At least 5 years of working experience assisting at the executive level in a fast-paced environment.
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat.
- Professional accountancy firms including the 'big 4' for at least 2-3 years of experience.
- Fluent in Mandarin and English; both written and oral is a must.
- Strong analytical skills.
- Sound interpersonal skills.
