The purpose of the role of a Team Administrative Support is to plan, manage and organise the office, administrative functions, Logistics, ensuring compliance with Health, Safety and Security standards, Vendor Development & travel of the R&D teams.

**Responsibilities**:
1. Submission and consolidation of reports/MOM/presentation material pertaining to the Business Line/ Division

2. Managing the facility cost within budget & planning cost saving initiatives in various cost heads.

3. Leading the development of short
- and long-term plans associated with space and facility planning and manages short and long term budget projections.

4. Managing the service level agreement with office and facilities vendors; tracking and reviewing the performance on periodic basis; ensuring AMC renewal, negotiating rates and making payments (as appropriate)

5. Supporting secretarial needs within function as required

6. Organizing visits
- Hotel, visa, guest house / overseas induction programs etc

7. Co-ordinate main functional / departmental administration needs / procedures.

8. Organize, co-ordinate and attend meetings/conferences, includes minute taking, compiling, and distributing of action points.

9. Co-ordinate general administrative and organizational matters for the department e.g. filing, expenses

10. Manage PO, Expenses, consumables.

11. Responding appropriately to ad hoc events

**Requirements**:

- Bachelor’s degree with 2-3 years of experience as office coordinator/Administrator, facility mgmt. & general Administration
- Understanding of the activities of R&D within Healthcare /FMCG multidisciplinary environment experience as secretary or similar type roles. Type of industry - flexible
- Specific knowledge and experience of the relevant R&D Function/Site would be beneficial.
- Results oriented, self-motivated, with solid planning and organizational capabilities, a bias for action
- Excellent communication skills, both written and oral.
- Proven ability to work under pressure without compromising on deliverables.
- Computer literate with particular expertise in industry standard software packages (Word, Power Point, Excel, Lotus Notes or equivalent)
