**Position Overview**:The Operations Administrative Specialist plays a crucial role in ensuring the smooth and efficient functioning of various administrative processes within our team. This role involves providing support to multiple departments and teams, handling a variety of administrative tasks, and contributing to the overall operational effectiveness of the company.
**Key Responsibilities**:
**Administrative Support**:
- Provide administrative assistance to the director, including managing their calendar, scheduling appointments, and coordinating meetings.
- Prepare reports, presentations, and other documents for the director's review.
- Act as a liaison between the director and internal/external stakeholders, maintaining effective communication.
- Assist in scheduling meetings, appointments, and events for teams and managers.
- Prepare meeting agendas, presentations, and materials as needed.
**Communication and Correspondence**:
- Provide courteous and timely responses to inquiries and redirect as necessary.
- Draft and proofread letters, memos, and other documents for internal and external communication.
- Serve as a point of contact for new agents, addressing their inquiries and providing guidance.
- Facilitate communication between new agents and various internal departments, ensuring a smooth integration.
**Event Coordination**:
- Assist in planning and organizing company events, workshops, seminars, and conferences.
- Coordinate event logistics, including venue booking, catering, travel arrangements, and equipment setup.
- Prepare event materials, presentations, and agendas, and provide on-site support during events.
You have
- JC, Polytechnic Diploma or international equivalent
- Proven experience in administrative roles, preferably within the insurance or financial industry.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent organizational and multitasking abilities with keen attention to detail.
- Effective communication skills, both written and verbal.
- Problem-solving mindset and ability to adapt to changing priorities.
- Knowledge of insurance industry practices and terminology is a plus.
- Familiarity with document management systems and data entry processes.
