EXECUTIVE ASSISTANT/OFFICE MANAGER - SINGAPORE OFFICE
To meet the needs of our growing client base in Southeast Asia, Hamilton Lane is looking to hire an Executive Assistant/Office Manager in the Singapore office. The Executive Assistant/Office Manager will be based in Singapore and will provide administrative support to our Southeast Asia team and will be responsible for general office matters.
This is a wide-ranging role, which offers exposure and learning opportunities for someone with keen interest in the Financial services sector.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Administrative support
- Executive Assistant to the Country Head and Head of Client Solutions for Southeast Asia
- Support the Client Solutions team and other professionals in Singapore office
- Calendar scheduling/management; arranging meetings and conference calls
- Coordinate travel arrangements
- Prepare expense reports and budget for Singapore office
- Maintenance of contacts, office files and reports
- Work with IT to trouble shoot technology issues
Office Management
- Assist with regulatory filing and reporting
- Maintain inventory of office supplies
- Maintain a tidy and orderly office
- Liaise with building management and security, including for any expansion needs
Special projects, including events management and marketing
- Manage events, including sourcing of venue/ sales collateral
- Work with team in coming up with / executing creative solutions for client engagements/ events
- Assist with sales and marketing efforts
NECESSARY QUALIFICATIONS, EDUCATION AND/OR EXPERIENCE
- BA/BS degree or Diploma
- Fluency in English
- Minimum 5 year’s senior administrative assistant experience
- Experience with Microsoft Office programs (Outlook, Word, Excel, Power Point)
- Knowledge of financial services industry will be advantageous
- Strong work ethic, positive attitude, and exercise prudent judgement
- Strong sense of ownership and accountability, assertive and proactive
- Creative and resourceful, ready to be flexible in a fast-growing business
- A team player, communicative, and enjoys working with a dynamic team
- Strong organizational skills with the ability to manage projects effectively and on-time
- Ability to exercise discretion and maintain a high level of confidentiality
- Ability to work under pressure and handle multiple tasks/assignments
