Executive Assistant to Group CEO
- Extensive secretarial/administrative support for Group CEO (diaries management, scheduling meetings, claims submission, travel arrangements etc)
- Manage Board and Committee Meetings schedule and logistics
- Coordinate staff briefings
- Work closely with Chairman’s PA in arranging meetings, expense claims
- Occasional support for reception duties when required during lunch hour and when receptionist is out of office i.e. managing of meeting rooms, receiving of guests, procuring of pantry/ office supplies, office equipment maintenance, incoming/ outgoing mail & courier services
- Manage and cover duties for other team secretaries when they are on leave
- Assist in preparation and printing of presentations/marketing materials
- Coordinate with relevant parties for updating of website
- Any other ad-hoc duties as assigned Office Manager Responsible for office administration duties including but not limited to:
- Space planning and renovation works
- Manage and monitor office budget
- Manage firmwide subscriptions database
- Ensure smooth day to day office operations, vendor management, pantry & stationery orders, meeting room bookings etc
- Manage maintenance of office facilities and equipment such as water dispenser, auxiliary a/c, water leak detector, copier machines, door access etc
- Organizing company events such as CNY luncheons, Christmas party, team events
- Approve relevant invoices and employee claims
Knowledge/ Requirements
- Minimum Diploma, with at least 10 years of relevant experience
- Ability to multi-task, takes initiative and is proactive with a can-do attitude
- Energetic and willing to learn quickly
- Adaptable and meticulous with good communication skills
- High sense of responsibility and work ownership
