Senior Administrative Officer

To assist the Senior Manager of biomedical engineering department in performing administrative and clerical duties of the department.
**Key accountabilities**:
- Provide administrative support e.g. correspondences, department reports, answer and screen calls and arrange appointments
- To prepare and manage the service contracts from vendors
- To maintain confidentiality of the department records. Provide clerical services e.g. data entry, service contract and vendor appointment etc.
- Maintain orderly filling system of all records in the department
- Prepare and record all purchase orders issued by the department
- Process incoming mail and distribute them accordingly
- Draft simple internal and external correspondences as and when assigned
- To process reimbursement claims and medical leave claims etc.
- Record minutes of the department meetings and follow-up on action taken at these meetings
- Manage and coordinate service contract agreements, Plan Preventive Maintenance (PPM) records and status
- Maintain equipment database and update records in the system and generate reports where necessary
- Follow instruction from Senior Manager to assist with admin functions
- Any other duties as assign by Senior Manager
**Qualifications & Experience**:
- Diploma in Business/Administration/Office management or its equivalent with 2 years relevant working experience
- Proficient in Microsoft Office 365
- Be service-oriented and a team player
- Good knowledge of computer work
