Purchasing/utility Billing Executive

We are looking for a professional executive to oversee the purchasing of goods and
services for our organization. The role is crucial in ensuring that the company
acquires the necessary materials and supplies at the best possible prices, with high
quality and in a timely manner.
The executive will also be responsible for overseeing and managing the billing
process for utility services such as electricity and water. Their primary duties involve
around ensuring accurate and timely billing for utility services provided to customers.
**Responsibilities**
**Purchasing**
- Responsible to source, negotiate and purchase materials from vendors
- Maintaining relationships with suppliers to ensure high-quality goods and services
- Creating and placing orders for required goods and services
- Ensuring timely deliveries and proper documentation
- Reviewing procurement expenses and working to reduce costs without compromising on quality
**Utility Billing**
- Ensuring utility bills are generated accurately based on usage and service rates
- Reviewing and verifying digital meter readings to ensure correctness
- Handling billing cycles and ensuring timely bill distribution to customers
- Maintaining customer records, ensuring accurate data entry.
**Required Skills and Qualifications**:
- **Educational Qualifications**: A diploma in business administration, or a related field is preferred.
- **Experience**: Prior experience in office administration, customer service, or related roles is an advantage.
- **Technical Skills**: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (printers, scanners, etc.).
- **Communication Skills**: Strong verbal and written communication skills, with the ability to interact with a variety of stakeholders.
- **Organizational Skills**: Ability to multitask and manage multiple responsibilities with attention to detail.
- **Time Management**: Excellent time management skills, with the ability to prioritize tasks effectively.
- **Problem-Solving Skills**: Strong ability to handle issues promptly and efficiently.
- **Adaptability**: Ability to adjust quickly to changing tasks and requirements.

**Working Conditions**:
- Full-time position, 5 days a week typically during standard office hours (9 AM - 6PM).
