**THE ROLE**
We are seeking a motivated and driven individual, who is polished and professional, and who wants to be part of highly successful and growing legal team in Singapore.
This is a varied role, which provides administrative and secretarial support to our team of eight Lawyers. You can expect to have hands-on involvement in legal work and build relationships with a variety of key stakeholders across the firm.
This is an exciting and proactive role where you will have the opportunity to be involved in a variety of different areas throughout the firm. The work involves effective multi-tasking, managing instructions from multiple sources and everyday office tasks.
You will play a key role in the operations of the firm and help your colleagues to achieve best practice.
Typical duties include:
- Client onboarding - case file opening/closing/Perform conflict check requests.
- Preparing engagement letters.
- Performing ACRA company searches for due diligence.
- Prepare proforma invoices using 3E system, send invoices to clients etc.
- Diary management in outlook.
- Processing expense claims in chrome river for fee earners.
- Courier arrangements.
- Booking of meeting rooms and attending client meetings as and when needed.
- Filing invoices and documents in iManage/Filesite data management system.
- Cross working with other offices to do bills, matter opening, requesting rate changes. Working with BAU, Rates Management team, Cashiers Team, Matter management Team, and the Finance team.
- Typing of documents.
- Scanning and photocopying of documents.
- Other ad-hoc duties assigned.
**YOU**
- Have experience in a secretarial or PA capacity within a professional services environment.
- Are friendly and approachable with high quality communication skills, including professional proficiency in English (written and spoken).
- Are highly organised with strong attention to detail.
- Have excellent interpersonal and relationship building skills, and enjoy working as part of a team.
- Are able to multitask and work independently to deal with competing demands.
- Have strong diary management skills.
- High quality drafting and writing skills, with excellent technology and IT abilities, including experience using the Microsoft Office package.
- Are eager to provide solutions and want to be part of a collegiate team.
