Job Title: Customer Relations Officer (Aesthetic Medical Clinic)

Position Overview:
Key Responsibilities:
- Welcome and greet clients and visitors in a warm and professional manner.
- Schedule and confirm appointments and follow up on appointments.
- Perform office administrative duties, such as filing, photocopying, scanning, mailing and organizing documents and correspondence.
- Build relationships with clients and provide excellent customer service to maintain loyal customer relationships.
- Manage patient inquiries, answer phone calls, and explant services offered while answering any questions.
- Ensure the reception area is neat, clean and welcoming to clients.
- Work with internal teams to maintain new product or service launches, ensuring clear communication of information and relevant promotions.
- Handle complaints and resolve problems or escalate to the appropriate management team.
- Collect and verify insurance information and ensure proper documentation and filing.
- Maintain and update patient records utilising the CRM system.
- Manage inventory for office supplies and manage petty cash disbursements
- Work with marketing team for blog content, promotions, and customer reviews.
- Conduct ongoing follow-up to maintain daily team and clinic operations.
- Perform other administrative duties and special projects as needed.
Qualification Requirements:
- Bachelor's Degree in Business Administration or related field.
- At least 2 years of experience in customer service or a front desk role in the healthcare industry, specifically in aesthetics.
- Excellent communication and interpersonal skills.
- Strong organizational skills with a proficiency in Microsoft Office and CRMs.
- Professional appearance and demeanor.
- Ability to work independently or as part of a team.
- Flexibility to work after hours or weekends when necessary.
