Operations Admin Assistant (Roadshow)
1. Perform day-to-day operational, admin and on-site support for roadshows and events.
2. Sourcing for event venues and service vendors.
3. Packing and sorting of logistics for roadshows.
4. Draft and prepare PowerPoint slides.
5. Communicate and relay messages down to internal directors, managers and reps to ensure that important information is passed down to all.
6. Track and collate results of each Roadshow statistics in Excel.
7. Coordinate the activities of personnel, subcontractors and vendors as required to successfully execute all aspects of the roadshow.
8. Work closely with internal and external event planning committees and client groups to define event goals, objectives and specific implementation plans.
9. Provide report analysis including tracking budgets and timelines.
10. Taking minutes during meetings.
11. Procurement and maintaining records of the inventories.
12. Any other ad hoc duties as required.
Job Requirements:
- Diploma in business management / communications / marketing or relevant field.
- A minimum of 1 year relevant experience.
- Experience in events planning and implementation preferred.
- Excellent interpersonal and communication skills.
- Highly creative with strong analytical abilities to translate complex concepts into actionable data and presentation.
- Pays attention to details and possess good time management skills to handle multiple projects simultaneously and ensure timeline is met.
- Ability to work under pressure in a fast-paced, rapidly changing environment.
- Ability to converse in Mandarin would be an advantage and enable you to handle Chinese Speaking clients
- Independent and able to work with mínimal supervision when needed.
- Willing to learn attitude and a team player.
- Well-proficient in Microsoft Office - PowerPoint and Excel.
