**Description**

You will be part of the Corporate Development team providing a suite of corporate services to ensure smooth running of the office. The team will work closely with other branches in KSL, engage funders and stakeholders across Government and non-Government agencies, and work closely with senior management to forecast and anticipate evolving needs of the organization.

As an Executive overseeing Administration, you will report directly to the Assistant Manager (Office Administration and Facilities Management) on the deliverables under your responsibilities. You will also engage various vendors and stakeholders to ensure the smooth running of the KSL office premises.

**Key Responsibilities**
- To man the main KSL hotline, including answering queries and redirecting calls to relevant Divisions
- To support facilities management in KSL’s office premises.
- To support the AM in overseeing renovation works and liaising with service providers and contractors to ensure projects or maintenance works are completed within the stipulated timeline and contract obligations/service standards are fulfilled.
- To manage relationships with vendors and suppliers, and ensure timely deliveries of goods.
- To conduct regular stock-take of office assets (including furniture and stationery) and ensure there is sufficient supply to meet KSL’s operational needs.
- To monitor and update the booking of meeting rooms against the credits available.
- To coordinate courier services, office mails and storage management for KSL.
- To maintain and renew insurance policies (eg. fire and property insurance) relating to office facilities.
- To support expense tracking, budget management, and processing invoices and expenses.

**Competencies**

Functional/Technical Competencies
- Diploma in Business Administration/Facilities & Estates Management
- At least 5 years of working experience in similar role
- Track record in working on multiple projects concurrently
- Proficient in MS Word and Excel
- Practise good phone etiquette

Generic Competencies
- Excellent communication, project management and time management skills, with the ability to prioritize tasks.
