**Job Summary**
We are seeking a highly organized, proactive, and resourceful Business Support Executive to provide comprehensive assistance to senior leadership while managing office operations, HR coordination, and vendor procurement. This dynamic role blends executive-level support with operational execution across HR admin and general business support functions.
**Key Responsibilities**
**1. HR & Compliance Support**
- Coordinate company events and other corporate functions.
- Support HR documentation and maintain compliance records.
**2. Executive Support**
- **Calendar Management**:Manage the CEO and Executive Director’s schedules, meetings, and appointments.
- **Travel Arrangements**:Organize domestic and international travel, including bookings, itineraries, visas, and expense claims.
- **Meeting Coordination**:Prepare meeting materials, take minutes, and track action items.
- **Communication**:Serve as the key liaison between the executive office and internal/external stakeholders.
- **Document Management**:Draft reports, presentations, letters, and confidential correspondence.
- **Confidentiality**:Handle sensitive information with integrity, sound judgement, and utmost professionalism.
- **Project Support**:Coordinate and support ad-hoc initiatives or special projects driven by leadership.
**3. Office & Admin Operations**
- Manage day-to-day office administration such as:
Ø Mail collection and distribution
Ø Pantry and office supplies restocking
Ø Office cleanliness and equipment servicing (e.g. photocopiers, water dispensers)
- Liaise with building management, cleaning vendors, and service providers to ensure smooth office operations.
- Maintain list and ensure timely renewals of service contracts.
**4. Procurement Support (Non-OPEX)**
- Source and manage vendors for non-operational general services such as cleaning, pantry supply, office equipment and office maintenance as needed.
- Monitor contract expiry and vendor performance; ensure service-level agreements are met.
**Requirements**:
- Proven minimum 1 year experience as an Executive Assistant, Office Administrator, HR Coordinator, or similar role
- Strong character: confident, discreet, and emotionally intelligent; able to handle sensitive matters with care.
- Highly organised, proactive able to manage multiple priorities independently and adapt to changing priorities.
- Proficient in Microsoft Office Suite and familiar with online portals (e.g. EPOL, MOM systems).
- Good command of English, both written and spoken.
- Able to work under pressure in a fast-paced environment with professionalism and grace.
- Strong judgement, critical thinking, and a willingness to push back respectfully when necessary.
- High level of integrity and discretion in managing confidential information.
**Job Types**: Full-time, Permanent
Pay: $1,800.00 - $3,600.00 per month
Schedule:
