Senior Venue Executive, Office of Venue Management

Reporting to the Senior Manager, this individual will embark on various strategies to achieve venue sales targets and covering of operation duties at the performance venues. A personable, detailedoriented, dynamic & adaptable individual who meets deadlines and has strong administrative and operational skills is likely to succeed in this versatile and challenging role with encompassing responsibilities of venue sales executive and front-of-house supervisor.
**Key responsibilities include the following**
Venue Sales responsibilities:
- Act as liaison between hirer's production team and OVM in-house teams, coordinate and meet hirer's performance needs
- Utilise the booking system (EBMS) to manage venue bookings, generate estimates, contracts, monthly/ quarterly reports. Reconcile ticket sales report from hirers' appointed ticketing agents before finalising billing with Office of Finance
- Embark on and implement business development strategies to clinch potential hirers
- Act as liaison for SOTA in coordinating enquiries and requirements for retail lessees and Office of Property Management
- Manage public relations and customer relationships, establish good rapport with relevant faculties and external hirers on their bookings, and provide accurate and timely information to venue hirers and retail lessees
Venue Operations responsibilities:
- Perform operation duties of a Front-of-House (FOH) Duty Manager or Production Coordinator, including but not limited to manage FOH operations and production needs for performances/ events when needed or assigned
- Work closely with the FOH Supervisor to conduct training, monitor work performances, perform timekeeping and general discipline of FOH officers to ensure that events are supported to excellent service standards
- Handle feedback from hirers, patrons, incidents, and accidents during performances; submit incident reports to Venue Manager after event as required
Other key responsibilities:
- Review and update Standard Operating Procedures, Policies and Processes, and any other required documents
- Engage in cross-functions in managing event, retail, advertising spaces, venue and production operations, project management
- Support school-wide events and key activities
- Adhere to SOTA 's prevailing policies and procedures
- Accept any other duties assigned by Reporting Officer or Management of the School
**Job Requirements**
- Degree or equivalent
- Minimum 3 years of relevant experience in sales/ customer relationship management and/or events management; experience in the arts and entertainment industry, live performance management in performing arts venues preferred
- Familiar with policies and procedures for performing arts venues; retail lease management will be an added advantage
- Excellent customer relationship management, communication, and interpersonal skills, including strong organisational and report writing skills
- Possess positive and motivated personality with good initiative, and pro-active with a high level of commitment to meet deadlines
- Strong team player, meticulous, analytical and resourceful with the ability to work independently
- Able to multi-task and perform in a fast-paced environment and handle complex situations calmly and professionally
- Plenty of initiative and enthusiasm and strong passion for the arts and the nurturing of youth within the arts education industry
- May be required to work on weekends and/or Public Holidays
