Project Coordination Specialist

Role Summary/Purpose
The Project Coordination Specialist is a key member of our Event Management Team. This role provides support on multiple projects (Outages) for our clients, by contributing to the setting up, monitoring, and closing out of projects with the team. This fast-paced role will see you interfacing with internal and external clients, suppliers, technical specialists, and team members.
This role operates as a hybrid work from home arrangement, however there will be a requirement to work on
site (some remote based) during major outages.
Essential Function
- Coordinate project planning, scheduling, and project budget management for Outages.
- Ensure that all project management and administration functions on planning, reporting, resource mobilisation and budgeting for the project are undertaken in a timely, professional and efficient manner.
- Monitor and communicate project progress to multiple parties.
- Communicate with team to understand and gather project requirements and coordinate with sourcing and
suppliers during new project development.
- Travel arrangements - flights, accommodation, vehicles and any other required tasks.
- Expenditure tracking and reporting as relevant.
- Work with sourcing by providing support on vendor invoicing reconciliations against purchase orders.
- Raise purchase orders through ARIBA and ensure goods are receipted correctly.
- Ensure all employees meet site compliance requirements and inducted accordingly.
- Maintain and update files and registers
- Drive and support implementation of EHS practices at site, ensuring compliance with EHS procedures and
safe working practices.
- Lead quality efforts at site by ensuring compliance with procedures and processes.
- General administration support.
- Performs other duties as required and assigned.
Qualifications/Requirements
- Higher Diploma or Degree level, preferably in an engineering discipline and/or significant relevant project
management, engineering and/or construction experience.
- Ability to handle a diverse and at times complex number of projects at the same time with effective management of priorities versus available resources.
- Highly organised with the ability to work to tight deadlines.
- Excellent communication skills, both verbal and written with the ability to manage in a high-pressure
environment.
- Team player with the ability to promote an effective working relationship at all levels
- High degree of attention to detail.
