Facilities Coordinator
Work Dynamics - Integrated Facilities Coordinator

Duties & Responsibilities
Provide assistance in general activities and any other duties as assigned by Facilities Management (Soft/ Hard services)
Support onsite JLL FM team
Efficiently conduct site walk at least twice daily
Support with preventive maintenance
Provide facility specific assistance to event team as needed or requested i.e. In-house events setup and set down
Support SFC with onsite housekeeping, FOH Team
Liaising with building management for submission of RA, PTW, SWMS
Work closely with H&S team
Vendor Management (Liase with vendors with regards to scheduled maintenance and project works (Soft/ Hard services)
Responsible to manage and operate Corrigo System i.e. tracking of open and close work orders: PPM work orders (Soft Services), Facilities request work orders
Manage & maintain facility tasks as assigned
Seek to continuously improve processes, systems, and overall client satisfaction
Attending to complain and knowledge of completing incident reports, if needed
Ensure appropriate follow up with users

**Responsible to manage and oversee**: Housekeeping Team - Onsite & backfill

**Knowledge & support when necessary**: FOH Services, Copier and Mail Services
Support for JDE & Coupa system i.e. Create Purchase Order (PO) requests on behalf of the facility management team for both JDE and Coupa System
Support with maintaining financial tracker to ensure of all responsible financial process to ensure that all payments are properly documented and completed in a timely manner

**Requirements**:
Relevant certifications or training courses in facilities management may be preferred.
With at least 5 years of experience in facilities management, operations or related fields is required for this role. This may include experience in building maintenance, HVAC, security, or project management.

**Communication skills**: Strong verbal and written communication skills are crucial for a facilities coordinator to effectively communicate with various stakeholders, including vendors, contractors, and internal teams.

**Organizational skills**: Should be highly organized and able to manage multiple projects simultaneously. This includes developing and implementing maintenance schedules, managing budgets, and overseeing contractors and vendors.

**Analytical skills**: Should have strong problem-solving skills and the ability to analyze data to make informed decisions related to facility management.

**Interpersonal skills**: Should be a team player and able to work collaboratively with other departments and stakeholders. The ability to manage relationships with vendors and contractors is also important.

**Physical requirements**: This role may require physical activity, such as lifting heavy objects or performing maintenance tasks, so the ability to perform physical tasks may be necessary.
