As an Admin Executive, you support the purchasing needs of the Company and various administrative requirements related to the office, accident claims or corporate functions.Job Duties
- Support the purchasing needs of various departments.
- Obtain quotations for shortlisting based on purchase requirements submitted by departments.
- Prepare purchase orders for approval and submission to vendors for processing.
- Verify invoices before request Finance Department to process payment.
- Source for new vendors to supplement the existing vendors or to meet new purchasing requirements.
- Evaluate suppliers regularly to ensure approved vendors are able to meet the Company’s purchasing requirements.
- Process car park accident claims related to motorists and the Company.
- Compile supporting documents from Operations Department to submit accident claims to the insurer.
- Update and maintain the accident claims database and provide monthly accident claims reports to the management.
- Follow-up with Finance Department on insurer’s invoicing requests for in-house repair works.
- Follow-up with the insurer to ensure claims disbursement.
- Support the corporate administrative requirements of the Company.
- Manage the contracts for corporate services such as printers, fire extinguishers etc., and maintain records of the renewal agreements.
- Organized and take minutes for management meetings.
- Process requests for management signatures.
- Manage office supplies, facilities and maintenance.
- Procure and maintain office supplies including pantry items and stationeries.
- Arrange and supervise contractors to perform office cleaning, maintenance and repairs.
- Ensure timely and accurate payment for office-related invoices and monitor office budget through monthly reports.
- Manage the allocation and proper use of office cabinets and drawers.
Job Requirements
- At least a Diploma in any discipline
- At least 3 years of experience in administrative roles.
- Proficient in Microsoft Word and Excel.
- Able to communicate effectively with all employee levels.
- Organized and able to follow up independently with multiple stakeholders to meet deadlines. (Procurement)
