**The Job Description**:
Working with a small team of dynamic individuals, the Specialist will assist with the execution of private events that include weddings, anniversaries, and private parties.

**Responsibilities**:

- Provide key support to the team by planning, preparing and coordinating meetings with clients and/or vendor(s), record discussions and follow up after the meeting
- Brainstorming with the team to develop creative concepts based on the brief from the clients
- Review proposals and contracts on behalf of clients
- Negotiate quotations and manage budget on behalf of clients as well as iinternal costings for each event
- Assist the team with the execution of private events from start to finish
- Update and manage checklist and timeline for each event and provide reminders for upcoming tasks for all parties involved
- Assist with guest list management
- Arrange necessary supplies and equipment to be transported to the event venue promptly
- Oversee and manage clients’ gifts and ensure personal property are packed away and secured in an assigned vehicle or storage room
- Provide support during events
- Keep up to date, research on new trends and styles for private events
- Create and maintain accurate and up to date records and files for all event management projects and ensure that all budgets, proposals, guest lists, events photos and contracts are properly filed
- Ensure information in corporate databases for business contacts and vendor lists are updated
- Maintain vendor relations and serve as a point of contact for all selected vendors for each event

**Requirements**:

- Minimum 3-4 years of relevant experience in Event Management
- An existing network of contacts in design, production and Audiovisual will be advantages
- Diploma or Degree in Business Studies, Event Management, Marketing, Communications and New Media, Mass Communications, or related field
- High level of organisational and time management skills with the ability to multi-task, prioritise tasks and meet deadlines
- Passion for events
- Meticulous with strong attention to details
- Good written and verbal communications skills
- Positive attitude, resourceful nature and excellent problem-solving capabilities
- A team player with strong interpersonal skills is proactive and able to work independently
- Some night and weekend work are required

**Job Types**: Full-time, Permanent

Schedule:

- Monday to Friday
- Weekend availability
