Operations Senior Associate

As the Operations Senior Associate at Ask & Embla, you will be responsible for the end-to-end coordination of our inventory and logistics, overseeing both inbound shipments from international suppliers, and outbound deliveries to our valued customers. This role involves ensuring timely and accurate processing, collaborating with internal teams for stock management and movement, generating regular, accurate reports, and providing essential administrative support to our daily warehouse operations.

**What You'll Do**:
**Inbound Logistics Coordination**:

- Coordinate with internal and external stakeholders regarding shipment schedules, documentation, and tracking.
- Ensure timely receipt of inbound shipments, verifying quantities and quality against purchase orders and packing lists.
- Manage the initial intake and organization of new inventory within the warehouse.
- Troubleshoot any discrepancies or issues with inbound shipments, and escalating as necessary.

**Outbound Logistics Coordination**:

- Ensure accuracy of the order fulfillment process - picking, packing, and labeling of customer orders.
- Coordinate with shipping carriers to arrange timely and cost-effective shipment pickups.
- Monitor shipment progress and proactively address any potential delays or delivery issues.
- Handle customer inquiries related to shipping and delivery, providing timely and helpful support.

**Inventory Management and Coordination**:

- Collaborate with the Production and Quality Assurance (QA) teams to ensure inventory is readily available for order fulfillment.
- Work closely with the Marketing and Creatives teams to support stocktake and packing activities for product launches, promotions, and content creation.
- Participate in regular stocktake processes to maintain accurate inventory records.
- Investigate and resolve any inventory discrepancies, ensuring data integrity.

**Reporting and Analysis**:

- Generate regular reports on inbound and outbound shipping performance, identifying trends and areas for improvement.
- Track key operational metrics related to inventory accuracy, order fulfillment times, mispack/mispack rates and shipping costs.
- Assist in analyzing operational data to identify bottlenecks and propose solutions for optimization.

**Administrative Support**:

- Maintain organized records of all shipping documentation, trackers, and related paperwork.
- Assist in the development and documentation of standard operating procedures (SOPs) for warehouse and logistics processes.
- Support the Warehouse Operations Lead with administrative tasks as needed.
- Ensure compliance with all relevant shipping regulations and company policies.

**Who You Are**:

- Proven experience (_minimum 3 years of experience)_ in an operations, logistics, or supply chain role, preferably within an e-commerce environment.
- Strong understanding of inbound and outbound shipping processes, including international shipping.
- Excellent organizational and time-management skills, with keen attention to detail and accuracy.
- Proficiency in using e-commerce platforms and inventory management systems.
- Strong analytical and problem-solving skills with the ability to interpret data and identify trends.
- With excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
