We are a large company engaged in hotel resorts, tourism, jewelry, gas and real estate, headquartered in Singapore, with branches across Southeast Asia. We would like to hire an Assistant to the Chairman. We are looking for an amazing Assistant to the Chairman to support our growth We are looking for a detail-oriented, organized, Assistant to the Chairman who will work closely with the Senior Management Team to assist and manage the travel and calendar management to ensure the smooth business operation and project management. To succeed as a Personal Assistant, you should be coming along with strong interpersonal skills and the ability to build a relationship with internal and external stakeholders and experiences in various administrative support to the Senior Management team. You should be knowledgeable, collaborative, and motivated.
**Responsibilities**:
- Assists the Chairman of the Board from time to time, as need arises
- Handles preparation of Request for Payments (RFPs) for admin, suppliers and utilities
- Handles booking of official travels of other company executives
- Handles / mans the switchboard in the absence of the Telephone Operator
- Makes appointments and schedules meeting of the Chairman of the Board
- Handles preparation of Request for Payment pertaining to the reimbursement of the Chairman’s cash advances and other expenses chargeable to the company
- Handles booking of official and personal foreign travels of the Chairman of the Board from time to time
- Provide Executive Assistance to the Chairman & CEO by way of preparing the Agenda, and Minutes of Meetings with The Marketing and Sales Executive of the company.
- She/He will also follow up on actions taken by responsible persons as committed during the meetings.
- She/He will file and organize the Marketing and Sales files and documents of the Chairman.
- Able to form a connecting link between the preceding and the following and achieve all-round services
- Assist the Chairman and CEO in daily tasks and follow-up closely
- Assist in group-related matters locally & globally & follow-up closely
- Assist Assistant to the Chairman in product profitability analysis
- Run errands for Chairman and/or CEO
- Good written and spoken English and Mandarin (to liaise with mandarin-speaking clients)
- Any other duties and responsibilities that may be delegated from time to time
**Job Requirements**:
- Bachelor’s Degree with at least 5 years of experience in Secretarial experience to the Senior Management Team
- Exercise good judgement and ability to prioritize multiple tasks in a timely manner
- Excellent analytical and multitasking skills with the ability to solve problems creatively and effectively
- Ability to work independently, meticulously and organized while collaborating in a fast-paced agile team
- Ability to speak Chinese and English fluently to communicate with global colleagues and stakeholders
- An ability to perform well in a fast-paced environment
- Good written and spoken English and Mandarin (to liaise with mandarin-speaking clients)
- OT is required sometimes
