**Context of the role**

Reporting to our Office Manager (Singapore), this role will be responsible for Office Management/Workplace Experience and EA responsibilities, general office administration, procurement, receptionist related tasks and internal event management.

**Responsibilities**:
**Workplace Experience and Operation (70%)**
- Manage day-to-day office operations by maintaining pantry supplies and office equipment, and liaison with vendors
- Coordinate with various external parties/vendors/building management for office maintenance
- Perform office receptionist duty that includes answering of phone calls, mail handling, courier, postage arrangement, attending to visitors, lunch/dinner reservation, gifts/flowers order etc
- Manage meeting rooms availability and equipment functionality
- Provide support on workplace activities to enhance workplace experience
- Provide support for employee's onboarding and offboarding, including proper records keeping of building access card issuance and collection
- Monitor vendor's invoice and payment follow up
- Support in ad hoc project if required

**Executive Assistant (20%)**
- Provide assistance on expenses claim for Senior Management
- Provide assistance on flight and hotel bookings for Senior Management
- Manage calendar of Senior Management
- Ad hoc admin support request by Senior Management

**Event and Travel Support (10%)**
- Assist with internal and external meeting/event coordination on project basis with demanding deadlines
- Support accommodations booking in Singapore and travel insurance registration for travellers

**Requirements**:

- To be based in the office 5 days' work week
- At least 2 years office administration experience
- Motivated, can-do, and positive attitude
- Responsible team player and resourceful
- Good interpersonal skills and good command of written and spoken English
- Can work in a fast-paced environment with good time management skills
- Strong initiative, independence, and ability to manage stress with quick changing situations
- Willing to accept receptionist duties as part of the job scopes
