Principal's Secretary

This position is primarily responsible for providing lead secretarial support to the Principal. They also coordinate all office management activities and assist teachers, students, and other staff members in matters relating to the functions of the high school office, under the supervision of the Principal. It is expected that the secretary will assist other members of the principal’s office staff as necessary and as workload permits.
Typical Duties
- Provide secretarial support to the Principal.
- Support the Principal with administrative duties.
- Coordinate the schedules of appointments and meetings for the Principal and collaborate on all division calendars.
- Maintain all records, correspondence, etc. in a well organized and accessible manner.
- Maintain strict confidentiality of all personnel matters and school records.
- Coordinate the activities of the office staff as the office manager.
- Assist Principal in preparing and managing the annual division budget and monthly budgeting responsibilities.
- Assist in the preparation of major school documents, projects and events including Faculty Handbook, graduation, bell schedules, etc.
- Liaises with the business office, personnel office, PTA, etc as required.
- Manage other staff accounts as required.
- Assist with welcoming of new faculty and returning faculty office support
- Substitutes - Arrange and verify for payroll.
- Daily tracking of faculty and staff.
- Collect money for petty cash and manage reimbursements.
- Collaborate with facilities as needed and monitor classroom keys
- Facilitate room bookings for office and schoolwide needs
Other Duties
- Ensures compliance with all school’s policies and procedures as related to the job responsibilities of this position.
- Relate courteously and effectively with students, parents, school personnel, government personnel, and community members as necessary.
- Perform other duties and functions as assigned by Principal and Deputy Principals

**Requirements**:
- Diploma/degree from a recognised polytechnic college or university.
- Excellent organizational and office management skills.
- Substantial work with budgets/budgeting.
- Excellent interpersonal skills and ability to handle multiple responsibilities and priorities concurrently.
- Good English communication skills, both written and oral.
- Strong attention to detail
- Ability to independently and proactively manage and coordinate projects, including multiple concurrent assignments
- Experience working in a deadline-driven environment
- Ability to work well alone and as part of a team
- Core computer skills in word processing, database management, spreadsheets and electronic communications
- Ability to learn and use specialized software
- Positive work attitude and initiative.
- Ability to work cooperatively and provide assistance as necessary to other team members including faculty, students and parents
