Project Coordinator

The Regional Coordinator roles covers the APJ, India, MEA & GCHN Region and is based in Singapore either in Client or JLL offices or working remotely in accordance with the JLL Hybrid Work Policy. He/she shall be an able practitioner and who will have experience in project or program management, and international capital works. Reporting to the PMO (Project Management Office) / APAC Account Lead and the Client’s Regional Project Delivery Lead (PDL), he/she will be expected to manage the capital budget and delivery of capital projects through the region and report accordingly.

**Job Description**:
The key objective of this role will be to provide support to the Client’s project delivery lead within the Transformation and Execution department and within the guidance and support of the global PMO.

**The role is to**:
Assist the Client’s PDL in the capital project strategy and planning.
Lead and provide oversight to all of the data and data control of regional projects.
Induct and guide project managers and ensure they deliver projects to specification, on time and in budget with the required data quality.
Review and provide guidance on a robust scope, budget and program of projects.
Responsibility to ensure that the PM’s report accurately on the status of the project and project finances.
Ensure that changes to scope or budget are reported on and managed accordingly.

**This role does not**:
Manage Projects directly
Manage Regionally Delivered Projects
Require Site Visits or local / international travel

The Project Coordinator will work closely with all the key Client functions, including but not limited to the Transformation and Execution department, Health and Safety, Engineering, Sustainability, local Area Managers, Facility Managers and IT teams.

Ongoing Delivery Support
Keep the project tracking technology tool accurate and up to date
Assist with Client and service providers
Assist the PMO, PDL and regional staff to establish and manage the Capital Plan
Support Regional RPM’s to ensure PM’s provide weekly update on project status and budget with a detailed monthly report
Support regional RPM’s as a governance function.
For allocated projects within the programme; support and prepare signed off Project Briefs (defined scope/ budget and schedule)
Support in sourcing the appropriate in-country project management resources for the Client
Monitor Project Delivery through reporting
For allocated projects within the program; Point of Contact for project teams for project administration and project close out.
Deliver Project Reviews, Change Control and Risk Management
Implementation of client standards by in-country Project Managers
Support delivery and reporting, project data and documentation governance
Manage / track PR / PO processing as required
Manage / track Data Quality control for data consistency, completeness & documentation.
Manage / track GRs and change orders

Process review
Assist the PMO & PDL in the review and improvement in the internal process and reports
Review and adjust existing reporting systems and ensure that regular reporting is completed
Ensure structured handover from Client to PMO organisation and close out of projects including documentation, handover to FM provider, etc.

Technology Tracking Tool
Assist RPMs / support PMs to ensure robust data quality and consistency
Initiate project from Capital Planning to delivery in Technology Tracking Tool
Track, monitor and report data quality KPIs, control for data consistency, completeness & documentation.
Track and monitor project updates in Technology Tracking Tool by project managers for consistency and data validation
Track and monitor project documentation uploads in line with requirements including but not limited to Project Execution Plan (PEP), handover & closeout documents
Support PMs to track and update actuals as required
