Lease Management Executive

Reporting to Manager, Lease Management, the incumbent will be responsible to oversee the back-end tenancy documentation and execution for the properties within LOGOS’ portfolio by working alongside the Leasing, Property Management and Asset Management team.
- **Leasing Contracts**
- To support the Leasing team and Asset Management team in terms of lease management including the preparation of leasing contracts such as Letter of Offer, Lease Agreement, License Agreement, Supplemental Agreement, Surrender Agreement, Termination Agreement, side letters, etc as and when required
- Liaise with Legal and other parties such as Asset Manager and the Tenant for the preparation, negotiation, and finalization of terms under all agreement, side letters, etc.
- To assist oversee and ensure issuance, execution and receipt of all documents from tenants. including all monies are received.
- To track and monitor status of lease to ensure full completion, including critical dates of the portfolio such as stamping of documents and uphold all relevant governmental guidelines, submissions and adhered to internal approvals.
- **Tenancy Schedule Management**
- Update and maintain tenancy schedule including trigger and sent reminder for Rent Review, Banker Guarantee Top-up, Insurance Renewal and JTC Sublet Renewal.
- To ensure the Bank Guarantee Format is in line with LOGOS standard template.
- To process payment for refund of security deposit in a timely manner upon expiry/termination of leases and licenses.
- **JTC and IRAS related Matters**
- Ensure all leases is accompanied by the relevant JTC approvals including working together with Tenant for the relevant document required.
- Monitor and track the annual land rents for LOGOS properties
- Tracking and monitoring the Annual Value of properties to ensure that it is within market/ contracted rents and raise recommendation to Asset Manager for any potential objections for property tax saving.
- Liaise with IRAS for house numbering record and any change of use of unit number.
- **Yardi Management**
- To enter all lease information into Yardi system accurately
- To ensure that all lease information is filed appropriately and always up-todate.
- Responsible for raising Purchase Orders for JTC Invoices (monthly), IRAS Property Tax Payable (annually), Commission, etc as and when required.
- **Rent Roll and Arrears Management**
- Prepare the Rent Roll monthly to ensure that billing amount is in line with tenancy contracts to facilitate FIN processing of the billing.
- Work together with the FIN Team to solve any billing related issues and raise any credit note where necessary.
- Execute the arrears management process in collecting payments from Tenants and prepare recovery plans for delinquent cases.
- Liaise with legal to prepare letter of demand to tenants who are unresponsive to any recovery plans or as and when required
- **Asset Management Reports and Annual Budgeting**
- Prepare and update the LM and AM portion
- Support the team in the annual budget preparation
- **Audit**
- Responsible for audit checks on all related lease management functions
- Follow with auditor queries as and when required
- **Others**
- To conduct KYC search, FDD search, Credit Monitoring and other related due diligence
- Perform other administrative support to the department (i.e., sort, scan file documents etc) to ensure proper documentation, etc
- Carrying out any ad hoc tasks/projects as and when required by the management
