**JOB ROLE OVERVIEW**

As a member of the Operations Team at Tommy, the Operations Manager (Singapore) is a key part of the core that keeps the office and studio running on a daily basis. Responsibilities fall into four main categories: Office Management, Administration & Reception, Operations, & Human Resources.

**RESPONSIBILITIES**

As our new Operations Manager, first and foremost you will assist the Managing Director in all regular activities. You will be outgoing and cheerful, but also discreet and able to keep essential information confidential.

Generally, the work that you’ll be assisting with falls into four major categories, outlined below. Responsibilities will include but not be limited to those outlined here:
**OFFICE MANAGEMENT**
- Procurement of office supplies (stationery, computers,
kitchen provisions, etc.)
- Liaising with office service providers including but not limited to any local authorities, commercial waste and recycling, utilities, ISPs and others
- Coordinating software licensing (for new hires and for project
specific requirements)
- Staff entertainment event planning (i.e. Monthly Socials,
Summer & Christmas party)
- Client entertainment (making bookings, coordinating gifts, etc)
- Coordinating building access and security (including recorded entry, cameras, alarms, and a call-out security service, all as directed by MD)
- Coordinating cleaning team
- Ensuring the kitchen is generally are cleared of outdated items once a week

**ADMINISTRATION AND RECEPTION**
- Answering doors and phones, greeting clients, and other tasks
- Organising refreshment for guests and staff in meetings
- Filing and organizing company papers and other assets
- Arranging sustenance for those working late

**OPERATIONS**
- Completing expense reports
- Requesting Tommy internal Purchase Orders
- Collating paperwork for bookkeeping monthly

**HUMAN RESOURCES**
- Processing holiday requests
- Supporting recruitment efforts
- Supporting the process of performance reviews
- Assisting onboarding new joiners and other new starters as directed, including setting up new accounts and ensuring that new joiners have induction plans

**SKILLS**

All Tommy Operations team members are expected to have or to actively work towards acquiring (as part of their goals and objectives) the following essential skills:

- Strong written and verbal communication skills
- A positive attitude, including the ability to be direct and take direction well
- A meticulous approach to administrative detail
- Excellent grammar and numeracy skills
- The ability to self-start and be proactive in keeping the office running day-to-day
