**Job Summary**:
The Project Administrator plays a critical support role in ensuring the smooth execution of oil and gas projects by providing administrative, logístical, and coordination support to the project team. The role involves managing documentation, tracking project progress, coordinating with various internal and external stakeholders, and ensuring compliance with industry standards and project requirements.
**Key Responsibilities**:
- Provide comprehensive administrative support to the Project Manager and project team.
- Maintain and update project documentation including contracts, reports, drawings, schedules, and meeting minutes.
- Track and monitor project progress, budgets, timelines, and deliverables using project management tools.
- Coordinate meetings, prepare agendas, record minutes, and follow up on action items.
- Liaise with vendors, subcontractors, and internal departments to support procurement, logistics, and site operations.
- Manage project correspondence, filing systems, and ensure version control of documents.
- Assist in the preparation of project reports and presentations for internal and client reviews.
- Ensure compliance with safety, quality, and regulatory requirements in documentation and communication.
- Support onboarding and mobilization processes for site personnel (e.g., travel arrangements, passes, accommodation).
- Maintain confidentiality and data integrity at all times.
**Requirements**:
**Education & Experience**:
- Diploma or Degree in Business Administration, Project Management, or related field.
- Minimum 3 years of administrative experience, preferably in the oil and gas, construction, or engineering sectors.
- Experience working in a project-based environment with exposure to technical teams is an advantage.
**Skills & Competencies**:
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); knowledge of project management software (e.g., MS Project, Primavera, or similar) is a plus.
- High attention to detail and accuracy.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Understanding of document control practices and project workflows.
- Team player with a proactive and problem-solving mindset.
