This position will be a hybrid work arrangement, which translates to 3 days minimum per week in the office.

A critical role within HarbourVest, we are seeking a hardworking and motivated Client Administration Analyst. This person will be integral in providing meticulous data administration as part of the Client Administration team within the firm’s Global Client Experience Organization. This position is primarily responsible for the timely entry and management of investor data, the preciseness of which directly impacts the execution of critical information and communications to our clients. Under limited direct supervision and on own initiative, this role will handle client information and be a key contributor to client onboarding, client reporting, and client service interactions. Activities and duties of the position require the ability to reliably navigate databases and CRM systems and proficiency in Microsoft Office.

- Familiar with investment concepts and high level of comfort with numbers and analysis

- Proficient in relationship management, communication, data analysis, problem solving, prioritization

What you will do:
Maintain Client Information (via eFront database): 55%

Assist with oversight and management of new client contacts and contact change requests
- Input updates for clients, consultants, and other third parties into eFront source system
- Connect with HarbourVest Client Service Associates team to clarify or gain information
- Modify client information following transfers of ownership
- Assist with management of investor login website invitations and requests
- Proof data for accuracy

Client Cash Flow: 10%
- Prepare and disseminate cash flow notices to clients

Client Onboarding: 25%

Work with Client Administration Associates and Client Onboarding Team to set up investors for HV fund closings:

- Verify entities and legal names on all closing documents
- Run client-related closing data in the eFront database

Delivery of Communications to Clients: 5%
- Work with Senior Client Administration Analysts with the distribution of communications via eFront to client contacts including but not limited to amendments and extensions
- Assist with the distribution of communications from other HarbourVest business teams

Continuous Improvement / Special Projects: 5%
- Provide data stewardship, data entry, and user acceptance testing for various firm projects
- Participate as a representative and advocate of the Client Administration team in firm improvement and transformation projects
- And other responsibilities as required

What you bring:

- This individual will work will all levels of the organization and will participate in firm projects as representative and advocate of the Client Administration team.
- The position requires the capacity to understand the firm’s business processes and operations at a high level. As a steward of our client data, this individual will develop a full understanding of critical data elements and data strategy to fully implement the business rules.

Education Preferred
- BS/BA Degree or equivalent

Experience
- 0-2 Years of data entry and client service experience.
- Financial experience preferred. Private equity experience a plus.
