**Job Description & Requirements**
Reporting Officer:
Team Lead/ Executive Management Team
Working Hours:
9:00 a.m. - 6:00 p.m, Monday to Friday
(Evenings and Weekends may be required for meetings and events)*
**Summary**:
The Programme & Outreach Officer/Coordinator will assist in overseeing and managing the various events, programmes, outreach activities and partnerships for HIA and its movements. Taking the lead from the respective Team Lead or the Executive Management Team, the Officer/Coordinator will plan and execute a variety of charitable work. He/She will be responsible for sourcing sponsorships, coordinating the logistics, maintaining project budgets, monitoring and analysing program outcomes, managing communication with the public and any other matters relating to the portfolio of movements assigned. The Officer/Coordinator is also responsible for volunteer management which include recruiting and engaging the key volunteers.
**Essential Duties and Tasks**:
**Programme & Outreach Activities**
- Conduct on-the-ground investigations of various needs as they arise
- Utilize needs assessment findings to design appropriate programmes and services for beneficiary groups
- Develop and implement outreach activities to the different beneficiary groups as led by the HIA Management and movement team leaders, including outreach and fund-raising campaigns
- Draft programmes and proposals for events / activities for management approval, partnership discussions and sponsorship requests
- Prepare and manage the budget for the events and activities
- Assist in fund-raising and donations in relation to the events or activities
- Coordinate administrative and logístical needs with various parties including partners and service providers
- Work with media team and provide required support for public relations, media and communication of events and activities.
- Assist in any other administrative duties as assigned by the Executive Management Team.
**Volunteer Management**
- Recruit, engage, manage and retain volunteers
- Identify training needs to build volunteer capability
- Manage volunteer database
- Prepare relevant reports as required by management
**REQUIREMENTS & EXPECTATIONS**
Passionate individuals who wish to serve marginalised communities with the following qualifications and experience may apply:
- Degree or diploma holder with relevant experience.
- At least 2-4 years of experience working in the field of events/ project management, or equivalent relevant experience.
- Work or volunteer experience in charities, grassroots, non-profit and charity sector will be an advantage
- Basic proficiency in design tools such as Canva will be an advantage
- Able to independently manage projects and responsibilities
- Ability to work independently with minimum supervision
- Strong time management skills
- Matured and well-mannered in managing internal and external stakeholders
- Collaborative, proactive, and solutions orientated
- Background in PR, marketing, hospitality management or related field will be an advantage
- Excellent organisational skills and attention to details
- Be able to work additional hours and outside office hours under urgent and exceptional circumstances
