**Position Summary**:
The Event Executive plays a crucial role in planning, organizing, and executing various events, ensuring their successful delivery and exceptional attendee experience. This position requires excellent organizational and communication skills, attention to detail, and the ability to work effectively in a fast-paced, deadline-driven environment. The Event Executive will collaborate with internal teams, clients, vendors, and suppliers to ensure seamless event operations from start to finish.
**Key Responsibilities**:
**- Event Planning and Coordination**:
- Collaborate with clients to understand their event requirements, objectives, and expectations.
- Develop event concepts, themes, and strategies in line with the client's vision.
- Conduct venue research, negotiate contracts, and manage vendor relationships.
- Coordinate logistics such as venue selection, catering, audiovisual setup, transportation, and accommodation.
- Prepare and manage event budgets, ensuring cost-effectiveness and adherence to financial guidelines.
- Create and maintain project timelines, action plans, and critical paths.
- Oversee event registration, ticketing, and attendee management processes.
**- Event Operations and Execution**:
- Supervise event setup, including décor, signage, seating arrangements, and technical requirements.
- Coordinate with suppliers, vendors, and internal teams to ensure seamless delivery of event elements. Manage event staff, including assigning roles, providing guidance, and overseeing their performance.
- Conduct on-site inspections and troubleshoot any operational issues that may arise.
- Coordinate event logistics, such as transportation, parking, security, and crowd management.
- Ensure compliance with legal, health, and safety regulations throughout the event.
**- Marketing and Promotion**:
- Collaborate with marketing teams to develop event marketing strategies and promotional materials.
- Monitor and analyze event metrics, including attendee feedback, registrations, and ticket sales.
- Identify opportunities to enhance event promotion and reach a wider audience.
- Post-Event Evaluation and Reporting:
- Conduct post-event evaluations, gathering feedback from clients, attendees, and stakeholders.
- Analyze event data and metrics to measure success against defined objectives.
- Prepare comprehensive event reports, highlighting key findings, successes, and areas for improvement.
- Provide recommendations for future events based on evaluation outcomes.
**Qualifications and Skills**:
- Bachelor's degree in Event Management, Hospitality, Marketing, or a related field.
- Proven experience in event planning and execution.
- Must have experience handling MICE and People Association Events
- Strong project management and organizational skills.
- Excellent interpersonal and communication skills.
- Ability to multitask and work under pressure to meet deadlines.
- Proficiency in event management software and Microsoft Office Suite.
- Knowledge of event marketing and promotion strategies.
- Familiarity with budget management and financial reporting.
- Attention to detail and problem-solving abilities.
- Flexibility to work evenings, weekends, and travel as required.
