Work Arrangement: Hybrid (Primarily Remote) This role operates on a flexible hybrid model. While most work can be performed remotely, team members are required to be available for on-site activities, including client meetings, site visits, and live event days.

Job Summary: The Senior Events Executive is the operational powerhouse of the team, responsible for translating event concepts into logistical reality. This role owns all technical and vendor-related aspects of a project, ensuring every element is flawlessly sourced, managed, and executed to guarantee a seamless event experience.

Key Responsibilities:

  • Vendor Management: Lead the sourcing, negotiation, and management of all third-party vendors, suppliers, and venues.
  • Technical & Logistical Planning: Oversee all technical event components, including AV, staging, lighting, and production, and manage applications for all necessary permits and licenses.
  • Financial & Budget Management: Meticulously track all project expenses against the budget, provide regular financial reporting, and collaborate with the Event Manager on the final financial reconciliation.
  • On-Site Operations Lead: Serve as the primary on-site lead for all operational and technical matters, managing vendors, crew, and production timelines during the event.
  • Post-Event Operations: Conduct vendor wrap-ups, process final payments, and ensure all operational aspects of the project are closed out efficiently.

Requirements & Qualifications:

  • A Diploma or Degree in Event Management, Project Management, or a related field.
  • 1-3 years of proven experience in event operations or a similar technical role.
  • Strong negotiation skills and established relationships with a network of industry vendors.
  • Demonstrated experience in budget management and expense tracking.
  • High proficiency with project management and collaboration tools, including Google Workspace.
  • Experience leveraging generative AI tools (e.g., ChatGPT, Gemini) to enhance research, vendor communication, and planning.
  • Basic proficiency in Canva for creating mockups or presentation materials is highly desirable.
  • Calm under pressure with excellent problem-solving skills, especially in a live event environment.
