**Description**:
**Reception Management**
- Welcome and assist visitors and guests in a polite and professional manner.
- Ensure the reception area remains clean, organized, and visually appealing at all times.
**Telephone Operations**
- Manage and route incoming calls to the appropriate school staff.
- Address general telephone and face-to-face queries from parents, vendors, and members of the public.
- Record messages accurately and relay them promptly to the concerned personnel.
- Accept, categorize, and distribute all incoming correspondence, packages, and documents.
- Organize outgoing mail and coordinate with courier service providers when needed.
- Maintain a detailed log of all inbound and outbound mail handled via MOE couriers and SingPost (including normal and registered mail).
**Administrative Assistance**
- Provide broad administrative support such as printing, filing, scanning, and data input.
- Help coordinate scheduling of meetings, appointments, and room reservations for staff and school leadership.
- Cross-check payment records to confirm all necessary endorsements and accompanying documentation are complete and accurate.
- Support updates to the school’s organizational display located outside the General Office.
- Participate in data validation tasks as assigned by the school.
- Update staff pigeonholes at year-end or as requested by the school.
- Collect forms and distribute materials or items as directed.
**Additional Duties**
- Assist with organizing and setting up light refreshments for visitors.Carry out other administrative responsibilities as delegated by the Admin Manager or School Leadership.
**Requirements**:
- Minimum GCE O Level qualification with at least 3 years of expereince as receptionistRelevant school based experience would be preferred.
**Other Information**:
- 1 year contract role with the option to extend (1 December 2025 - 30 November 2026)
- 5 days work week (Monday to Friday)
