- Responsibilities- Manage several calendars, balancing competing priorities and problem solving.-
- Review invoices and input for receivables.-
- Assistance with the coordination of presentation and presentation material-
- Maintains documents, electronic and hard copy-
- Acts as delegate for system reviews and approvals in Oracle, Workday, VMS, and Concur, in alignment with expense policies-
- Coordinates large staff meetings and events: planning, facilities, agendas, speakers and more-
- Facilitate stakeholder reminders and action item follow ups.-
- Books internal venues and resources to support meetings and events.-
- Coordinates international and domestic travel and coordinates itineraries with other Veritas participants.-
- Ensure compliance to Veritas travel policies.-
- Prepares and submits expense reports.-
- Maintains office supplies and submits supply orders.-
- Raises issues and schedules recovery for IT or system related issues on behalf of leaders.-
- Resource for and expert on company processes, procedures, and policies.-
- Partner with other members of Administrative Shared Services team to offer excellent administrative support to leaders.-
- Assist Site Co-Ordinator with site wide events e.g., Town Hall meetings, seasonal events.- Requirements:
- Minimum 2 years of administrative work experience including heavy calendaring, international travel coordination, preferably within a high-tech environment.-
- Proficient with Microsoft Office suite: Word, Excel, PowerPoint, as well as Microsoft Office.-
- Ability to work and strive in a fast-paced, matrix environment and execute against multiple tasks and deadlines, prioritizing and re-prioritizing.-
- Process highly confidential and critical information on a routine basis with discretion.-
- Excellent communication skills - verbal and written involving high-level communications with internal and external contacts.-
- Ability to listen and simplify details depending upon target audience; Ability to influence others; Manage conflict appropriately, know when to delegate issues upward-
- Collaborates and brings a mindset of ultra-responsiveness with other administrative staff and business partners across the organization-
- Demonstrated ability to take initiative, anticipate the needs of the leaders, exercising independent, sound judgment-
- Demonstrated passion for continuous learning, improvement, and sharing best practices-
