Chairman Office Associate

**Position Summary**:The Chairman Office Associate will provide comprehensive administrative and executive support to the shipping fund. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to handle confidential information with professionalism.
**Key Responsibilities**:
- **Investor Management**:Coordinate with existing and potential investors. Build and maintain strong relationships with current and prospective investors and other stakeholders. Follow up with investors for fund subscription documentation and KYC information collection etc.
- **Communication**: Serve as a primary point of contact for internal and external stakeholders including internal finance/commercial/technical management team and external fund manager/corporate secretary/lawyers and fund admin, correspondence, and prioritizing messages for the Chairman's attention.
- **Investor Meetings and Events**:Coordinate investor meetings, conferences, and other events, including scheduling, logistics, and preparation of materials.
- **Information Management**: Maintain organized filing systems, both physical and electronic, ensuring sensitive documents and files related to Chairman’s office are all confidential.
- **Project support**:Assist with special projects and initiatives as assigned by the Chairman, providing research, analysis, and administrative support as needed.
**Qualifications**
- Bachelor's degree in Business Administration, Management, or a related field. Background in the Shipping industry is highly desirable.
- Previous experience providing executive-level administrative support is highly desirable.
- Exceptional organizational skills with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills, with keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work independently with mínimal supervision and as part of a team.
- Discretion and integrity when handling confidential information.
- Professional demeanour and excellent interpersonal skills.
- Flexibility and adaptability to meet the dynamic needs of the Chairman's office.
