The Commercial Operations & Tender Specialist is accountable for the enablement of both the Singapore Vision Care & Surgical commercial franchise teams in the critical area of Commercial Operations and Tenders. Performs as a generalist leading core commercial operational and administrative tasks. Business critical functions include oversight and maintenance of Pricing/Payment systems for both internal and external stakeholders. Plays point for Surgical Tender operations and Demo unit deployment and monitoring.

REPORT GENERATION
- Generate and circulate Invoice Sales Report from the SAP system on a daily basis

VENDOR / CUSTOMER CREATION SYSTEM SUPPORT
- Creating and maintaining new supplier and customer accounts across various internal systems (PO, SFE, etc.)

PO & PAYMENT MANAGEMENT SYSTEM SUPPORT
- Raise PO in system and perform GR
- Payment for non-PO services (e.g. honorariums) - Submit invoices & exceptional payment requests received from suppliers/customers to Payables team and follow through till payment

PRICING, SAMPLES & DEMO SYSTEM SUPPORT
- Pricing/Free goods/Samples systems creation and submissions
- Demo equipment and Goods Return Note tracking

SALES FORCE EXCELLENCE SYSTEM SUPPORT
- SFE systems support e.g. Customer/ECP segmentation mapping for SFDC

MARKETING APPROVAL SYSTEM SUPPORT
- Veeva Promo Mats support e.g. materials submission

RFP, CONTRACTS & COMPANY LETTERS COORDINATION
- Leads Surgical RFQ/RFP monitoring and submission
- Support for ECP/HCP contracts, Trade Letters, Quotations
- Store, organize and retrieve physical contract documents

IN-STORE DISPLAY & POSM MANAGEMENT COORDINATION
- Process Customer Display Requests from the sales team. Supporting Marketing (visual design and approval) and coordinating with vendor up till installation
- Managing POSM inventory by tracking in and out POSM materials. Monitor near expiring POSM materials and alert the marketing & sales teams in advance. For expired POSM, arrange for destruction and maintain documentation of proof of destruction.

EXTERNAL ENGAGEMENT COORDINATION
- ECP/KOL flight, hotel booking and transportation for KOL/Company events

ON-GROUND EVENTS & ACTIVATION COORDINATION
- Coordinate external events e.g. Launches, DTC roadshow
- In-store promoter deployment

INTERNAL FRANCHISE COORDINATION
- Internal team meetings and events coordination
- CFH/Country Manager administrative support

**Education**:
Diploma in Secretarial, Business Studies/Administration/Management or equivalent preferred.

**Experience**:

- At least 5 years of working experience in a related field within a MNC environment.
- Strong at prioritization, organization and execution with a customer-centric orientation
- Excellent communication, written and interpersonal skills
- High levels of initiative and comfortable in using discretion without having to wait for direct instructions
- Driven, mature, meticulous and with an eye for detail
- Team player with a willingness to learn
- Proficient in computer skills and comfortable with learning/using internal systems
