**About the role**

This is an exciting full-time opportunity to join Pivene Pte. Ltd. as an Order Processing Executive. Based in Pasir Panjang, Central Region, you will be responsible for efficiently processing and managing customer orders to support the company's sales objectives.

**What you'll be doing**

Order Management:

- Process customer orders accurately and promptly using the company’s ERP or order management system.
- Verify order details, including product availability, pricing, and delivery terms.
- Coordinate with sales and operations teams to resolve order discrepancies or issues.

Customer Communication:

- Liaise with customers on quotations, orders confirmation, delivery schedules, and any special requests.

Inventory and Purchasing Coordination:

- Monitor inventory levels and ensure stock availability for order fulfillment.
- Raise purchase orders (POs) to suppliers for stock replenishment as needed.
- Communicate with suppliers to confirm order details, lead times, and delivery schedules.
- Negotiate pricing, terms, and conditions with suppliers to optimize costs.
- Track and manage incoming shipments of purchased goods to ensure timely delivery.

Shipping and Logistics Coordination:

- Arrange and coordinate shipping schedules with logistics providers or freight forwarders.
- Prepare shipping documentation, including delivery orders, packing lists, and invoices.
- Track shipments and ensure on-time delivery to customers.
- Ensure compliance with shipping regulations, including customs clearance and import/export documentation when required.
- Handle discrepancies or issues in transit, such as lost or damaged shipments.

Documentation and Reporting:

- Prepare and maintain accurate records of all orders, invoices, and shipping documents.

Continuous Improvement:

- Identify opportunities to streamline order processing and shipping workflows.
- Participate in process improvement initiatives and provide feedback to management.

Assist in any ad-hoc task assigned by supervisor

**What we're looking for**

Educational Background:

- Diploma or Degree in Business Administration, Supply Chain Management, Logistics, or a related field.

**Experience**:

- At least 2-3 years of experience in order processing, shipping coordination, or a similar role.

**Skills**:

- Knowledge of shipping and logistics procedures, including customs clearance and international shipping regulations.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Detail-oriented with a high level of accuracy.

Technical Proficiency:

- Familiarity with MS Office (Excel, Word, Outlook).
- Experience with logistics and shipping platforms is a plus.
- Proficiency in Dynamics 365 Business Central is a plus.

Behavioral Traits:

- Ability to work under pressure and meet deadlines.
- Team player who can also work independently.

Language Proficiency:
Proficient in English & Mandarin (read, spoken & written)
