Job Summary

The Site Executive Facilitator is responsible for providing top-level administrative and secretarial support to the Site Leader, including managing schedules, meeting planning, document preparation, communication handling, supporting projects and ensuring that deadlines and obligations are met for the Site Leader and the Site Leadership Team. This role will support day-to-day operations and strategic projects.

This role will also act as a liaison between the site leader and the site leadership team and internal/external stakeholders, handling communications on their behalf.

Job Description and Responsibilities

  • Administrative and Secretarial Support:
    Provide comprehensive project, program, and administrative support to the Site Leader and Leadership Team.
  • Data Management:
    Collect, analyze, and synthesize data from various sources to create accurate and relevant reports, presenting findings in a clear and actionable format.
  • Confidential Correspondence:
    Handle confidential documents and correspondence, responding to, creating, composing, and editing written materials and email responses as appropriate.
  • Meeting Coordination:
    Proactively coordinate leadership and team meetings, prepare and edit meeting agendas, minutes, action items, reports, and presentations using Microsoft Office and Teams.
  • Priority Management:
    Exercise sound judgment in anticipating priorities and potential conflicts to ensure deadlines are met.
  • Calendar and Travel Management:
    Manage calendars, schedule high-level, time-sensitive meetings, arrange travel, and complete expense reports, ensuring timely and quality work.
  • Onboarding Support:
    Assist with the onboarding and offboarding of colleagues at the site.
  • Facility Management Collaboration:
    Work closely with the Facility Management Team to enhance workspace efficiency and effectiveness.
  • Expense Management:
    Oversee Smartsource PO and office expense management.
  • Event Planning:
    Manage travel arrangements, itineraries, and event planning for the leadership team and overseas visitors.
  • Confidentiality:
    Maintain confidentiality and handle sensitive information with discretion.
  • Leadership Meeting Support:
    Coordinate and attend leadership meetings, take minutes, and follow up on action items.
  • Special Projects:
    Oversee special projects and initiatives as directed by the Site Leader, including research, report preparation, event coordination, and correspondence handling.
  • Office Organization:
    Ensure the efficient operation of the Site Leader's office by organizing files and maintaining accurate records.

Candidates are expected to have the following qualifications, skills, and experience.

For this role, we're looking for a candidate who has an effective combination of the following qualifications, skills, and experiences:

  • Minimum 5-8 years of relevant experience.
  • Excellent communication and collaboration skills.
  • Ability and professional demeanor to interface with senior management and must be able to exhibit good judgment in handling confidential information and demonstrate exceptional attention to detail
  • Prior administrative support and experience of providing project management and data analytic support.
  • Ability to execute initiatives in a timely manner with high quality.
  • Demonstrated resourcefulness with proven ability to anticipate needs, prioritize responsibilities, manage multiple priorities with tight timelines, and take initiative.
  • Ability to work well both in team environment as well as operate independently with minimal supervision
  • Independent, proactive and anticipates needs.
  • Excellent attention to detail and proofreading skills.
  • Proficiency in MS Teams, Word, Excel, PowerPoint, and Outlook are essential.
  • Adept at learning new technologies and tools.
