The Business Office Associate supports daily clinical operations, ensuring a seamless and positive patient experience through scheduling, coordination, and communication with the healthcare team.

Key Responsibilities:

  • Provide frontline administrative support to patients, families, and clinical staff.
  • Respond promptly and professionally to incoming calls, emails, and inquiries, offering accurate information and assistance.
  • Make outbound calls to patients and clinic staff to coordinate and confirm operating theatre bookings, ensuring accurate and timely scheduling.
  • Collaborate closely with clinic and surgical teams to optimize scheduling and patient flow.
  • Assist with patient registration, manage pre-admission documentation, and submit insurance claims.
  • Generate and issue tax invoices and receipts for patients and clinics as needed.
  • Manage appointment calendars, track follow-up visits, and update patient records.
  • Perform clerical duties such as filing, faxing, data entry, document preparation, and general administrative support.
  • Uphold strict confidentiality and compliance with healthcare policies and data protection standards.
  • Assist with ad hoc duties as assigned by Management.

Requirements:

  • GCE "O" Level or Diploma in Business Administration, Healthcare Management, or related field.
  • Prior experience in a healthcare, surgical, or outpatient clinic setting will be an advantage.
  • Willingness to work rotating shifts as assigned according to the duty roster, including alternate Saturdays and overtime when required.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Strong interpersonal and communication skills with a patient-first, service-oriented mindset.
  • Ability to work effectively in a fast-paced environment while maintaining attention to detail.
  • Reliable team player with a strong sense of responsibility and adaptability.
  • Fast learner with a proactive attitude and a commitment to continuous improvement and high-quality service.
