Executive Assistant

Responsibilities
- Provide full spectrum of secretarial support to Director(s) and his/her team;
- Coordinate and organise Director's meetings and travel schedule;
- Handle full spectrum of administration including supplies, expenses, claims, travel arrangements, meetings coordination, leave management, update status of project, etc;
- Prepare documents for submission of pre-qualification;
- Liaise with project teams to collate and record latest project information in ERP;
- Update Fee Schedule and prepares documents such as invoices and requisitions;
- Prepare requisition for payment to consultants, external suppliers and inter-company billing;
- Work with Human Resource department for incoming and outgoing administration for team members;
- Provide administrative support for management and directors meetings;
- Any other ad hoc duties as assigned.
Requirements
- Minimum Diploma in Business Administration or equivalent;
- Strong adaptability and ability to manage shifting priorities in a fast-paced environment;
- Excellent organisational and problem-solving skills;
- Minimum 5 years of experience in relevant field;
- Good command of spoken and written in English.
