F&B Administrator

Job Desciption:

• Checking and reviewing emails for any tasks or requirements, especially in focusing on reports that require submission
• Supporting both team and individual needs within the department or organization
• Assist in raising some request form or orders of the outlet
• Assist other departments if clarification is required with billing or other concerns
• Prepare new team members on-boarding process for their necessary system access for operation use
• Communications to all vendors for 3rd party platform like Quandoo, Chope and Eatigo for all outlets
• Assist to create accounts for new team members on POS, Table check, Email and etc.
• Working with outlets on the training schedule and refreshers course with the vendors and training department
• Communicates with the vendor on the changes required in the system for F&B promotion update and discounts
• Communicate with Marketing and Communications Department to update any outdated or incorrect information like menus, dining page pop-up banner in the website
• Managing festive season special / blackout dates reservation, get prepayment for all reservation and apply the individual outlets' PM account
• Update team members in F&B group chat for all ongoing and upcoming promotions
• Check and scrutinize all emails that needs supervisor's signature e.g. partnerships contract (bank promotions), invoices, outlet check bill for ENT, etc.
• Place orders for all marketing collaterals related to particular events and promotions
• Check all marketing collaterals especially menus, EDMs, led and IPTV artwork are all correct and aligned as per F&B request
• Raise all fix monthly purchase order like entertainment in outlet
• Communicate with CPO for additional outsource project to be done like Deepavali Rangoli, Easter Activity, truck or vehicle for logistic, coaster and others required by the supervisor
• Consolidate and submit all F&B outlets accrual timely to Finance Department
• Follow up on all pending invoice to settle from Finance Department
• Create forms for tracking and monitoring like voucher distribution
• Upload contracts related to F&B service in ECCF
• Assist supervisor for admin task e.g. update daily reservation report and relevant reports
• Assist Daily Breakfast Operations
• Process payment posting in F&B Deposit account
• Monitor and tally the F&B Deposit accordingly
• Access GOBusiness account for license application enquiry
• Consolidate monthly P&L dashboard report

Requirement

• Diploma in Hospitality, Business Administration, or related field (O-levels/A-levels with strong admin skills may also be accepted).
• 1–3 years of experience in hotel administration, F&B coordination, or related clerical role.
• MS Office (Excel, Word, PowerPoint) and hotel F&B software.
• Able to liaise between F&B outlets, purchasing, finance, and HR.
• SFA (Singapore Food Agency) and NEA requirements knowledge
• Ability to work under pressure, especially during peak dining hours or when outlets have promotions/events.
• Strong team player who can support F&B managers and outlet supervisors.
