Job Description

We are looking for a Student Services Administrator to be the first point of contact for our school. This role involves interacting with students, clients, and walk-in guests, while providing comprehensive administrative support across departments.

Key Responsibilities:

  • Assist walk-in customers, students, and clients in a professional and friendly manner.
  • Handle incoming phone calls and direct them to the appropriate departments.
  • Respond promptly to customer queries and provide accurate information.
  • Manage front desk operations including mail handling, filing, data entry, and maintaining a clean, welcoming reception area.
  • Coordinate with Student Wellbeing Centre to support counselling referrals or consultations.
  • Provide support for international students regarding Student Pass collection.
  • Assist in sending email confirmations and updating clients on learner attendance and assessment results.
  • Maintain accurate and up-to-date records, including filing, scanning, and archiving of learner documents.
  • Manage assessment bookings at least 3 weeks in advance and ensure acknowledgment forms (COA) are signed.
  • Upload in-house results manually to TPG (Training Partners Gateway).
  • Support logistics for in-house events, including room setup, seating arrangements, and basic equipment preparation.
  • Prepare classrooms for lessons or assessments by ensuring materials, and devices (e.g., laptops, TV projectors) are ready and functioning.
  • Coordinate basic technical setup for training sessions.
  • Work closely with the Business Development Manager to handle corporate registrations.
  • Prepare basic reports and documentation related to customer service and learner administration.
  • Provide cross-department administrative and clerical support.

Carry out other ad hoc duties as assigned.
