About the Role
We are seeking a dynamic Technical Workplace Executive to join our Singapore team and play a pivotal role in delivering exceptional workplace experiences for our clients. This position combines technical facility management expertise with a strong focus on customer service and stakeholder engagement to ensure optimal workplace environments that support business success.
What You'll DoFacility Maintenance & Operations Excellence
- Develop and implement comprehensive maintenance and operations procedures to ensure seamless facility functioning
 - Coordinate all maintenance activities including Planned Preventive Maintenance (PPM), ad-hoc repairs, inspections, and building shutdown exercises
 - Manage work orders and service requests with strategic prioritization to ensure timely completion
 - Monitor and evaluate vendor and contractor performance to maintain the highest service delivery standards
 - Maintain meticulous records of maintenance activities, equipment inventory, and warranty management
 
Health & Safety Leadership
- Ensure full compliance with health and safety regulations, codes, and guidelines
 - Coordinate closely with client HSSE teams for new works involving hazard exposure, machinery deployment, and high-risk activities
 - Conduct regular facility inspections to proactively identify and address safety concerns
 - Develop, maintain, and test emergency response plans and procedures
 - Deliver safety training and briefings while fostering a strong safety culture among employees and contractors
 
Strategic Vendor & Contract Management
- Build and manage strong relationships with external service providers including cleaning, maintenance, and security vendors
 - Monitor vendor performance against service level agreements and contract terms
 - Conduct regular vendor meetings to maintain service excellence and relationship strength
 - Process vendor invoices, track expenses, and maintain strict budgetary control
 - Resolve vendor issues and disputes efficiently and professionally
 
Space Optimization & Planning
- Collaborate with stakeholders to plan and optimize workspace utilization for maximum organizational efficiency
 - Coordinate office relocations, reconfigurations, and furniture installations
 - Analyze space utilization data to identify improvement opportunities and implement innovative solutions
 
Customer Service Excellence
- Provide outstanding customer service to internal stakeholders, addressing inquiries and resolving issues promptly
 - Maintain effective communication channels with employees, management, and external stakeholders
 - Ensure transparent and timely communication regarding all facility-related matters
 
Financial Management & Reporting
- Assist in developing and managing facilities budgets while optimizing operational costs
 - Prepare comprehensive reports on facilities operations, maintenance activities, and budget performance
 - Analyze operational data and metrics to identify trends and improvement opportunities
 - Provide strategic recommendations for cost-effective solutions and operational efficiency enhancements
 
Workplace Experience Enhancement
- Conduct employee surveys and systematically gather workplace feedback
 - Analyze feedback data to identify trends and improvement areas
 - Implement evidence-based changes to enhance employee experience
 - Manage workplace environment initiatives including wellness programs to ensure safe, comfortable, and productive workspaces
 
- Hospitality and Customer Service background - Essential for success in this role
 - Strong technical facility management knowledge and experience
 - Proven track record in vendor and contract management
 - Experience in health and safety compliance and risk management
 - Exceptional stakeholder engagement abilities - You'll be the key liaison between multiple parties
 - Strong leadership and communication skills - Essential for managing teams, vendors, and client relationships
