Job Summary

The Chief of Staff (CoS) serves as the CEO's strategic and operational partner, ensuring smooth coordination between the executive office, support departments, and the network of dental clinics.

This role is responsible for translating the organization's strategic vision into measurable outcomes — driving performance, compliance, and patient-care excellence across clinics while optimizing central support systems in HR, marketing, operations, and finance.

The CoS ensures that every clinic operates efficiently, profitably, and consistently with the DSO's brand, values, and clinical standards.

Key Responsibilities

1. Strategic Planning & Organizational Alignment

  • Partner with the CEO to develop and execute business strategies, growth initiatives, and operational plans across the DSO.
  • Track company-wide OKRs/KPIs, including clinic performance, financial targets, and patient experience metrics.
  • Lead or support expansion initiatives such as new clinic acquisitions, partnerships, or market entries.
  • Prepare strategy decks, board reports, and investor updates.

2. Oversight of Dental Clinics

  • Oversee performance and operations across all dental clinics within the network.
  • Ensure clinical teams adhere to quality, safety, and compliance standards (MOH, PDPA, infection control, etc.).
  • Work with Regional/Clinic Managers to analyze performance reports, optimize scheduling, and improve chair utilization.
  • Identify underperforming clinics and coordinate targeted turnaround plans with Operations, HR, and Marketing.
  • Facilitate regular clinic audits, leadership meetings, and operational reviews.
  • Align associate dentists, clinic managers, and support teams with group goals and shared culture.

3. Executive & Leadership Support

  • Serve as a key advisor to the CEO — managing priorities, communications, and decision preparation.
  • Coordinate the executive team's workflow, ensuring projects stay on track and inter-departmental dependencies are managed.
  • Prepare talking points, presentations, and proposals for internal and external meetings.
  • Manage high-impact, cross-functional projects as delegated by the CEO.

4. Operational Efficiency & Process Improvement

  • Streamline coordination between clinical operations, marketing, HR, finance, procurement, and IT.
  • Standardize SOPs, templates, and best practices across all clinics and HQ functions.
  • Lead or support the rollout of digital transformation initiatives (e.g., PMS upgrades, data dashboards, patient communication systems).
  • Track performance analytics to improve cost control, resource allocation, and overall productivity.

5. People & Culture

  • Work with HR to foster a culture of accountability, collaboration, and continuous improvement.
  • Support leadership development for clinic managers, dentists, and support staff.
  • Drive communication and engagement programs that align all team members with the DSO's mission and values.

6. External & Stakeholder Relations

  • Support the CEO in managing relationships with key partners, vendors, investors, and regulatory bodies.
  • Represent the organization in select events, conferences, or meetings when required.
  • Oversee communication plans for executive announcements and group-wide initiatives.

Qualifications

Education & Experience

  • Bachelor's degree in Business Administration, Healthcare Management, or related field (MBA or MPH preferred).
  • 8–12 years of experience in healthcare management, consulting, or operations, with at least 3–5 years in a leadership role.
  • Experience overseeing multi-site operations (preferably dental, medical, or allied health).
  • Proven ability to lead cross-functional teams and implement strategic initiatives.
