Job Description:
  • Receptionist to go round the office to do a quick check that the facilities/ equipment all working well and be ready at the reception counter by 9am. (moved from bottom to 1st row)
  • Check emails received and ensured to read and reply within 15 minutes upon receipt of the email.
  • Call management
  • Visitor management
  • Meeting room management - To pay special attention when employees leave the meeting rooms, ensure that the rooms are always neat and tidy.
  • Ensure meeting room door/phonebooth door is open for airing when not in use. Assist in meeting room reservation where needed.
  • Assist to clear and wash up guests' cups especially if the pantry cleaning staff has left for the day.
  • Mails & courier management - collect letters from the letter box (daily), arrange for local courier or international courier pickup.
  • Office area management - ensure the ceiling lights are in working condition, ensure the pantry area is tidy - to report any malfunctioning and facilities issues to the office services executive.
  • Any other duties assigned from time to time.
  • Lunch time (Strictly 12 - 1pm).
  • Training for coverage receptionist to ensure the operations run smoothly, at least one week before receptionist goes on leave.
  • Ensure that plants are healthy and well-maintained. Report any unhealthy plants to the Office Manager.
  • Receive deliveries.
  • Unpack RedMart snacks/drink orders (usually once a month)
  • Update telephone listing.
  • Maintain locker spreadsheet
  • Rename Singtel file names (twice a month)
  • Check Copier Paper inventory and report to Office Manager when inventory is low.
  • Assist in office decorations (CNY& Christmas)
  • Train the bench receptionist to cover during on leave/absence from work.
  • Other Ad-hoc duties assigned by Office Manager and HR.
