Assist Resident Manager

Position Purpose
The Assistant Resident Manager supports the Resident Manager in overseeing the day-to-day management of the condominium. He/She ensures smooth estate operations, assists in handling resident matters, and provides administrative support to the Management Council and Managing Agent.
Key Responsibilities
1. Estate Operations & Maintenance
- Assist in supervising daily operations of cleaning, security, landscaping, and M&E services.
- Conduct routine inspections and report defects/irregularities to the Resident Manager.
- Follow up with contractors on maintenance and repair works.
2. Vendor & Contractor Support
- Monitor contractors' attendance and service delivery on site.
- Assist in obtaining quotations and prepare simple comparison tables.
- Verify completion of minor works and report to Resident Manager.
3. Administration
- Assist in preparation of circulars, notices, and meeting documents.
- Maintain filing system for contracts, reports, and correspondences.
- Handle petty cash claims and simple record-keeping.
4. Resident & Council Support
- Handle day-to-day enquiries and feedback from residents, escalating issues when necessary.
- Provide administrative support during Council/General Meetings (arrangements, minutes drafting assistance).
- Ensure timely follow-up on Council decisions under Resident Manager's guidance.
5. Statutory & Safety Compliance
- Assist in maintaining statutory records and ensure timely reminders for renewals.
- Monitor contractors' compliance with safety requirements on site.
6. Staff Supervision (Support Role)
- Assist Resident Manager in supervising on-site staff.
- Report staff issues to Resident Manager for resolution.
Qualifications & Requirements
- Diploma in Estate/Facilities Management or related field preferred.
- Minimum 2 years' experience in property or estate administration.
- Familiarity with BMSMA is an advantage.
- Strong interpersonal and communication skills.
Proficient in MS Office.
