Role Overview

The Cargo Operations Executive will support the trading and operations team in the smooth execution of physical oil cargo movements, ensuring compliance with company policies and industry standards. This role will also provide coverage for demurrage and settlements, and handle contract drafting and counterparty follow-up, making it a key operational support position within the business.

Key Responsibilities

  • Coordinate day-to-day cargo operations: liaise with terminals, surveyors, agents, vessel operators, and counterparties to ensure timely and accurate execution of loadings, discharges, and STS operations.
  • Monitor voyage instructions, NOR, SOF, cargo documentation, and inspection reports; flag discrepancies to traders and senior operators.
  • Track vessel schedules, port line-ups, and logistics to ensure smooth cargo flows and minimize delays.
  • Draft and review oil & gas sales and purchase contracts and confirmations, ensuring timely submission for internal approval.
  • Manage contract counters with counterparties, including circulation, follow-up, and execution.
  • Provide coverage support for demurrage and settlements: assist in collecting supporting documents, tracking claim deadlines, and preparing claim submissions.
  • Verify invoices for freight, port costs, inspection, survey, and other voyage-related charges; liaise with Finance for timely processing.
  • Maintain accurate operational records in CTRM/ERP systems and ensure compliance with internal controls.
  • Assist in preparing operations and claims dashboards, highlighting exposures and open items.
  • Support audits, process improvements, and system initiatives (e.g., SAP/ERP upgrades).

Qualifications & Skills

  • Bachelor's degree or diploma in Maritime Studies, Logistics, Business, or a related discipline.
  • 1–3 years' experience in oil trading operations, shipping, or related fields preferred (fresh graduates with strong internships considered).
  • Strong organizational skills, with the ability to multitask and manage deadlines under pressure.
  • Good analytical and problem-solving mindset; detail-oriented.
  • Effective communicator and team player, with proficiency in English and Mandarin (for daily liaison with China counterparties).
  • Proficient in Microsoft Excel, Word, and ideally ERP/CTRM systems.
