Key Responsibilities:

Office Facilities (80%)

  • Maintain adequate stocks of printing consumables and envelopes in all utility areas.
  • Conduct daily office walkthroughs to identify and report defects or malfunctions in equipment, lighting, and other facilities; perform regular fire extinguisher checks.
  • Perform first-level troubleshooting on facility issues; escalate and coordinate with Facility Manager and service providers as necessary.
  • Carry out minor repair and maintenance tasks within capability.
  • Escort external service teams during maintenance and inspections.
  • Keep office areas, utility spaces, and storage areas clean and organized.
  • Assist with fire drills, system/power shutdowns, and periodic inspections coordinated by the building or landlord.
  • Support logistics for internal and external company events, including recreational area setups and coordinating with secretarial staff for CEO office events and guest visits.
  • Collaborate with Admin and Facility Management teams on renovation projects, office relocations, and workspace rearrangement.
  • Perform errands and other ad-hoc duties as assigned.

Mailroom Services (20%)

  • Sort and distribute all inbound mail, including courier packages, registered mail, and inter-office mail.
  • Prepare and post outgoing mail by folding and sealing envelopes manually.
  • Adhere to scheduled mail delivery runs.
  • Collect returned cheques from banks when required.
  • Arrange for local and international courier pickups.
  • Maintain and update mail logs accurately.
  • Manage mail franking and request credit top-ups as needed.
  • Maintain and replenish mailroom supplies and equipment.

Job Requirements

  • Minimum GCE N Level with 2 years relevant experience
  • Proven experience or familiarity with office facilities management and mailroom operations.
  • Basic troubleshooting and hands-on repair skills related to office facilities.
  • Strong organizational and multitasking abilities with attention to detail.
  • Ability to work independently and as part of a team.
  • Good communication skills to coordinate with vendors, colleagues, and senior staff.
  • Proactive approach to identifying and resolving facility-related issues.
  • Flexibility to assist with ad-hoc tasks and support company events.
  • Basic computer skills for maintaining logs and communication.
  • Ability to handle physical tasks such as walking inspections, carrying supplies, and escorting service personnel.
