This is a Personal Assistant to the Managing Director. This position will provide essential support to the Personal Assistant in managing the day-to-day operations of the Managing Director's Office. This role will involve handling various administrative duties, coordinating schedules, and facilitating communication within the organization. The successful candidate will be proactive, detail oriented, and capable of maintaining a high level of professionalism, confidentiality, and efficiency.
Key Responsibilities
- Administrative Support:
Assist the Personal Assistant in managing the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize documents, reports, and presentations for meetings and conferences. - Collaboration:
Work closely with the Personal Assistant to align on priorities, tasks, and project updates to ensure seamless support for the Managing Director.
Foster positive relationships with other departments to facilitate efficient communication and collaboration. - Meeting Coordination
Assist in organizing meetings and events, including preparing agendas, taking minutes, and following up on action items.
Ensure that the Managing Director is well-prepared for all meetings with necessary materials and information. - Office Management
Support the smooth operation of the Managing Director's office by managing supplies, equipment, and office logistics.
Implement and maintain filing systems, both electronic and physical, to ensure efficient retrieval of information. - Project Assistance:
Assist in special projects and initiatives as assigned by the Managing Director or Personal Assistant, providing research and administrative support as needed.
Track project timelines and deliverables to ensure deadlines are met. - Confidentiality Maintenance:
Handle sensitive information with discretion and confidentiality, maintaining a high level of trust and integrity in all interactions.
Ensure compliance with company policies regarding information security and confidentiality.
Qualifications:
- Proven experience as a personal assistant, executive assistant, or in a similar administrative role.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- High level of discretion and confidentiality.
- Ability to work independently and as part of a team.
