Description

The HR & Admin Executive is responsible for providing general HR & administration support to both internal and external stakeholders.

Responsibilities

Insurance & Motor Vehicles

  • Coordinate Corporate and Project Insurance related matters, including yearly renewal exercise, new purchase and endorsement.
  • Manage Work Injury and Hospitalization and Surgical Insurance, including submission of claims and following up of outstanding WICA and H&S cases with relevant external stakeholders
  • Manage company vehicles' road tax, VPC, insurance and COE matters

Employee Welfare & Relations

  • Assist with Exit interviews for resignees and collate data and statistics
  • Organise Employee Annual Events and Ad-hoc Activities like Talks, Health Screening etc
  • Investigate and resolve employee complaints, disputes, and grievances fairly and in a timely manner

Administrative

  • Responsible for external staff bus transport matters, including yearly renewals.
  • Coordinate and liaise with internal and external stakeholders on office equipment for photocopiers in the office
  • Process business visa application, air ticket and accommodation booking
  • Assist in company provided accommodation, including sourcing of new accommodation/housing, processing of monthly rental payment and renewal of existing rental contracts.
  • Ensure timely processing of reimbursement claims for internal stakeholders and invoice payments to external stakeholders
  • Covering Reception Duties during their absence
  • Assist in coordinating ad-hoc relief schedule for receptionists and HRD driver when necessary
  • Monitor and control staff PPE Entitlement for purchase reimbursements
  • Other ad hoc duties which may be assigned time to time

Requirements

  • Diploma / Degree in Business Administration or any related field
  • Preferred 5 to 6 years of relevant office administration experience
  • Computer literate in MS Office Word, Excel and PowerPoint. Advanced skills will be preferred.
  • Positive attitude with good interpersonal and communication skills
  • Ability to work in a dynamic and fast paced environment
  • Meticulous and process oriented, able to maintain and upkeep data.
