Description
The HR & Admin Executive is responsible for providing general HR & administration support to both internal and external stakeholders.
Responsibilities
Insurance & Motor Vehicles
- Coordinate Corporate and Project Insurance related matters, including yearly renewal exercise, new purchase and endorsement.
- Manage Work Injury and Hospitalization and Surgical Insurance, including submission of claims and following up of outstanding WICA and H&S cases with relevant external stakeholders
- Manage company vehicles' road tax, VPC, insurance and COE matters
Employee Welfare & Relations
- Assist with Exit interviews for resignees and collate data and statistics
- Organise Employee Annual Events and Ad-hoc Activities like Talks, Health Screening etc
- Investigate and resolve employee complaints, disputes, and grievances fairly and in a timely manner
Administrative
- Responsible for external staff bus transport matters, including yearly renewals.
- Coordinate and liaise with internal and external stakeholders on office equipment for photocopiers in the office
- Process business visa application, air ticket and accommodation booking
- Assist in company provided accommodation, including sourcing of new accommodation/housing, processing of monthly rental payment and renewal of existing rental contracts.
- Ensure timely processing of reimbursement claims for internal stakeholders and invoice payments to external stakeholders
- Covering Reception Duties during their absence
- Assist in coordinating ad-hoc relief schedule for receptionists and HRD driver when necessary
- Monitor and control staff PPE Entitlement for purchase reimbursements
- Other ad hoc duties which may be assigned time to time
Requirements
- Diploma / Degree in Business Administration or any related field
- Preferred 5 to 6 years of relevant office administration experience
- Computer literate in MS Office Word, Excel and PowerPoint. Advanced skills will be preferred.
- Positive attitude with good interpersonal and communication skills
- Ability to work in a dynamic and fast paced environment
- Meticulous and process oriented, able to maintain and upkeep data.
