Job Description

Responsibilities:

  • Respond to parent inquiries via email and WhatsApp (using WhatsApp Web).
  • Address questions about class schedules, course content, and platform usage.
  • Handle requests from the tutor team to follow up with parents on attendance, class participation, or schedule updates.
  • Call parents of late or absent students and assist with basic technology support where needed.
  • Share trial class instructions and ensure parents/students are informed and prepared.
  • Follow up post-trial to determine continuation and issue invoices accordingly.
  • Maintain accurate class and student records using internal tools and spreadsheets.
  • Organize tutor replacements or student rescheduling when needed, liaising directly with team members and parents.
  • Assist in creating and timetabling new classes, coordinating with both tutors and clients.
  • Ensure all class changes are reflected in calendars and systems promptly.
  • Create and send client invoices using MYOB.
  • Enter weekly payroll data: track class hours, assign pay items, and ensure correct tutor entries are prepared.
  • Perform cross-checking of entries against class records for accuracy and compliance.
  • Support clients with technology troubleshooting (e.g., accessing Zoom or Google Classroom).
  • Help coordinate other ad hoc admin duties that arise from daily operations.

Qualifications:

  • At least 23 years of experience in administrative or virtual assistant roles
  • Experience in client-facing communications and managing online platforms
  • Familiarity with MYOB or similar invoicing/payroll tools is strongly preferred
  • Exceptional English communication skills (written and verbal)
  • High level of attention to detail, task tracking, and follow-through
