Deputy Manager/Senior Associate, ISTD (Undergraduate Programme) (Contract)

We are seeking a proactive and organised individual to provide administrative support for our undergraduate programme. You will play a vital role in ensuring the smooth operation of the student journey—from enrolment to graduation—by supporting academic faculty, students, and internal teams. The person reports to Deputy Director, Information Systems Technology & Design (ISTD) and is part of the administration team in the pillar.

Duties and Responsibilities

Provide day-to-day administrative support for undergraduate programme:

  • Maintain accurate and up-to-date study plans, student enrolment records, academic tracks, minors, exchange programme and course selections manually or electronically.
  • Liaise with faculty and student administration colleagues to support students for enrolments and academic advice, process enrolment variation requests, and monitor student progress.
  • Assist with Course Instructor and Teaching Assistants (Graduate and Undergraduate) hiring and provide administrative support for onboarding, system access, submission of forms and timesheets.
  • Support Global Exchange Programme mapping request checks with faculty.
  • Coordinate timetables, assessments, and examination logistics.
  • Act as a first point of contact for undergraduate student enquiries.
  • Organise and provide support to student events, feedback sessions and briefings.
  • Assist with procurement and financial-related matters.
  • Other duties and responsibilities as assigned by Reporting Officer.

Qualifications

  • Relevant Degree or Diploma educational qualifications, preferably with minimum two to three years of related working experience.
  • Excellent communication and interpersonal skills.
  • Good organisational skills and analytical mindset. Meticulous and detailed oriented.
  • Resourceful and able to gather information independently and pro-actively.
  • Team player with a service-oriented personality.
  • Preferably with knowledge of academic regulations and university systems.
